How to Negotiate Group Hotel Rates: Seven Levers That Work

Group bookings · Guide

Short answer: hotels give better group terms when your group fills nights they would otherwise struggle to sell. Flexible dates, a clear room count, a sensible release date, and on-time payment are worth more in a negotiation than asking for a lower number.

Part of our guide to hotel room blocks for company trips in Vietnam.

Seven levers that move a group rate

1. Flexible dates

Offer two or three date options. Shoulder weeks and the hotel's quiet nights (weekends for city hotels, weekdays for resorts) usually price lower.

2. Avoid peak holidays

In Vietnam, Tet (Lunar New Year), the 30 April and 1 May holidays, 2 September, and the June to August school holidays fill hotels quickly. Groups in those weeks have little room to negotiate.

3. Length of stay

Three nights is easier for a hotel to plan around than one. Longer stays often justify a better nightly rate.

4. Room mix

Twin sharing uses fewer rooms; a mix of room types lets the hotel use what it has free. Tell the hotel what is fixed and what can change.

5. Meeting room and meals

A group that also books a meeting room or meals brings more total spend, which can be traded for better room terms.

6. Release date versus price

A later release date protects you but costs the hotel flexibility. Accepting an earlier release can lower the rate; decide which matters more to your company.

7. Payment terms

Paying the deposit on schedule, and using one payer for the whole block, removes risk for the hotel and is often reflected in the quote.

Book early enough

For company trips, plan at least six weeks ahead, and eight to ten weeks where you can. Peak dates need longer.

What not to trade away

  • Written cancellation and release terms. A low rate with unclear terms costs more if the group changes.
  • Correct invoicing details. A VAT invoice issued to the wrong entity is hard to correct later.
  • Rooms per night that match your real headcount. Over-blocking to get a rate can turn into attrition charges.

Questions

Can you negotiate group hotel rates?

Yes. Dates, length of stay, room mix, extra spend, release dates, and payment terms are all part of a group negotiation, not only the nightly rate.

When is the worst time to ask for a group discount in Vietnam?

During Tet, the 30 April and 1 May holidays, 2 September, and the June to August school holidays, when hotels fill without group discounts.

Is it better to negotiate with the hotel directly or through a supplier?

A supplier such as Bedtara can compare several hotels at once and quote the block with one set of terms and one invoice. Direct talks suit a single hotel you already know well.
